Summary: The Perris Union High School District (PUHSD) would like to enter into a multi-year Agreement with Informed K12 to streamline interdepartmental workflow processes for clerical positions that have been unfilled due to attrition as well as to ensure safety for staff by minimizing the use of paper through inter-district processes.

Informed K12 will digitize PUHSD’s paperwork submittal process by adding existing forms into their platform and/or assisting in developing a new form/application through their program and using a digital review path for all approval signatures. Expected outcomes for the platform are to increase the transparency of district forms and processes, improve efficiencies, and provide fast online/mobile access to district forms for staff, parents, and students.

By entering into a pre-paid five (5) year Agreement, the District is able to receive a 20% discount and lock in an annual cost with no escalation. This negotiated contract will save $68,000, the equivalent of one and one-half years at no cost. The term of this Agreement shall be from October 1, 2020 through June 30, 2025. The total cost for this five (5) year Agreement is $183,970. The costs will be shared proportionally between PUHSD and the California Military Institute (CMI). The PUHSD portion over the five-year period will be $166,135 and the CMI portion will be $17,835.
Funding: The cost for this item is included in the 2020-21 operating budget through the PUHSD and CMI Federal CARES Act Learning Loss Mitigation Fund, not the General Fund.
Recommendation: It is recommended that the Board of Trustees approve the Multi-Year Agreement with Emics, Incorporated, DBA Informed K12 for the online workflow platform and support services.
