Summary: The District has been successfully utilizing Tableau Software and Services from Computer Information Concepts (CIC). The original Agreement was approved by the Board on October 19, 2016. The District was pleased with the results and would like to enter into a new Licensed Product Agreement. Tableau Software is a data visualization software that has allowed the District to effectively analyze information for many aspects of its schools and improve Local Control and Accountability Plan (LCAP) writing procedures.

Tableau offers a unique new way to explore and visualize data and identify trends. Tableau allows non-technical end-users to quickly and easily create pictures from underlying databases. Data (expressed in pictures) can easily be "explored" to analyze the data on-screen, as well as including data in presentations. Tableau also allows for all created visualizations to be quickly and easily posted to the web for sharing with others. Tableau includes many features such as drill-down via filters, selection by highlighting cells within a chart, calculated measures or dimensions, annotations, drill-back to detailed information on-screen, cut-and-paste into Excel, and the ability to combine multiple charts on a single dashboard. Dashboards may include controls (global to all charts on the dashboard or local to a single chart).

In addition to the benefits the software provides, CIC will provide design services and software support for Tableau.

The total cost for services for the 2018-19 school year is $29,155 for forty (40) licenses.

The total cost of $29,155 is comprised of 40 user licenses. There are currently thirty seven (37) District user licenses for a total of $26,968.38 (92.5 percent of the licenses). There are 3 California Military Institute (CMI) user licenses for total of $2,186.62 (7.5 percent of the licenses), which will be billed as a direct cost to CMI per the Memorandum of Understanding between the District and CMI.

In addition to the 40 licenses, the District requests permission for an additional twenty five licenses (25) to be added at a later date at a cost of $5,000 to allow for additional users.

The original Agreement allowed for up to four (4) additional one (1) year terms in accordance with Education Code 17596. The term of this renewal Agreement shall be from July 1, 2018 to June 30, 2019 and will be the second of the four (4) additional one (1) year terms.

Education Code 17604 and 17605: The Governing Board delegates the power to contract and purchase supplies, equipment and services.
Funding: The cost for this item is included in the 2018-19 operating budget funded through the General Fund and the Charter School.
Recommendation: It is recommended that the Board of Trustees approve the renewal of the Licensed Product Agreement with Computer Information Concepts for Tableau Software and Services.
